Mermaidd – a stand-alone platform for medical records
We believe innovation and technology should be central to delivering an effective and efficient service for our clients. That’s why we have built a bespoke AI tool to enhance the reviewing, organisation and pagination of medical records, called Mermaidd (Medical Records Management for AI Driven Decisions).
Following on from successful trials we can now offer Mermaidd as a standalone service for organisations and legal teams working with complex medical records.
We are excited to offer Mermaidd as a stand-alone service for customers who work with medical records, for improved reviewing, organisation, and analysis.
AI-supported GDPR and data integrity checks
Medical records from providers often contain information relating to other patients, and disclosing these records to external parties can constitute a GDPR breach. To prevent that and to ensure records are easy to view, Mermaidd scans incoming medical records to:
- Flag potential GDPR breaches for validation
- Identify duplicate or irrelevant pages
- Remove blank pages
- Correct page orientation
Intelligent document organisation
The system automatically structures medical record bundles into a clear, logical format:
- Grouped by provider
- Categorised by high-level document type (e.g. Charts, Assessments, Nursing)
- Ordered chronologically
- With individual continuous documents kept together
This creates a fully organised foundation for clinical analysis, or a starting point for pagination.
AI-generated tags allow users to quickly filter records — for example to find all mentions of any date in August 2023, under records relating to A&E, or to see all discharge letters from January–March.
Users can also search all text from the records, including almost all handwriting, using word search and ‘near word search’ to detect terms even where they are misspelled.
This dramatically reduces time spent manually searching large bundles.
Purpose-built workflows
Mermaidd has been built with the real workflows of nurses and lawyers in mind. This means in this interface it is easy to:
- Extract pertinent records into a ‘Light’ bundle, whilst retaining the original
- Reorganise and categorise medical records in a comprehensive bundle
- Write a Chronology, linked to either the original records or the Light Bundle, using extracts from the records and user-added commentary
- Produce a rich index describing the contents of either bundle
